Qualtrics alternatives: What should you use for your next study?

Replacing Qualtrics can change who finds respondents, builds the survey and explains the result. Compare the research workflow you need to keep.

A buying group discusses a pair of ivory connector blocks around a sculptural meeting table.

Choose a Qualtrics alternative by the study you need to deliver and the work your team can own. Compare audience access, survey design, analysis and support together, then ask each supplier to demonstrate the same brief.

A cheaper survey subscription may leave recruitment and interpretation with you. A managed study may reduce that work but give you a different delivery model. If your current Qualtrics setup already supports a critical tracker or customer workflow, keeping it can be the strongest option. Our Qualtrics pricing guide helps build the cost comparison; this guide helps decide what you would replace.

Two teams can need different replacements

Imagine an agency comparing three early drink concepts for a client. It runs similar projects throughout the year and needs to explain which idea deserves a human product test. Separately, the client's insights team runs a quarterly brand tracker with established questions and regional reporting. These are illustrative briefs.

The agency can change its workflow between concept studies. The tracker team needs a defensible connection between the old wave and the new one. Both may use a survey platform, but a replacement that suits the agency could introduce unnecessary change into the tracker.

Write down the dependency behind the change. Is the problem recruitment, slow programming, researcher capacity, analysis, or the cost of an occasional study? Keep the functions that already work in the comparison. Replacing the entire system to solve one bottleneck can create more work than it removes.

SurveyMonkey Audience when your team can run the study

SurveyMonkey Audience combines survey creation with access to a respondent panel, including targeting and custom screening. It is a route to investigate when your team wants to design a defined survey, buy responses and analyze the results itself.

For the agency, demonstrate the three actual concept cards and the required routing. Check whether the available audience can meet the client's eligibility criteria and whether the proposed plan includes the analysis and exports the team needs. Panel reach across many markets does not by itself establish access to a narrow buyer group.

This route suits a team able to own the questionnaire and its interpretation. If nobody has time to check the design or turn the result into a recommendation, include that missing work in the comparison rather than assuming the software takes it over.

Attest when consumer surveys and follow-up interviews belong together

Attest's platform combines quantitative surveys with AI-moderated qualitative interviews of real consumers. That makes it relevant to a consumer-research team that wants to move between a scaled question and a more detailed explanation.

Ask the supplier to demonstrate the transition using the same decision: what would the survey establish, who would take part in the interviews, and how would the two outputs be interpreted together? For the tracker, establish whether a follow-up audience represents the same buyers or a selected subgroup with a specific response.

Keep the source of participants explicit. An interview moderated by AI can still collect an actual person's account. It is different evidence from an answer generated by a simulated respondent. The label “AI research” does not tell you which one you are buying.

quantilope when repeatable consumer methods are central

quantilope supports automated brand-tracking surveys and repeat waves. Investigate it when a continuing consumer study and its analysis are central to the workflow, rather than occasional standalone questionnaires.

For the client's tracker, bring the existing questions, eligible audience and reporting definitions into the demonstration. Ask how they would be implemented, which elements would change, and how the supplier would report a discontinuity. An automated new wave is useful only after the team agrees what must stay comparable.

For a concept program, ask for the exact study and output you intend to repeat. A method name on a product page is a starting point for the demonstration. The purchase needs a supported audience, specified inputs, a usable result and a named owner for each step.

Sapien when the next job is a managed simulated comparison

At Sapien, we build a simulated audience around a product, message, price or market decision, run the comparison and help interpret the findings in an interactive report. Our managed research solutions describe the delivery and responsibilities.

For the agency, that could mean screening the three complete drink concepts and examining the objections before commissioning a product test. Supply the actual price, pack, availability and alternatives so that the comparison reflects the client's decision.

This changes the evidence source as well as the workflow. Simulated responses can inform which concepts to revise or investigate. They do not record actual campaign exposure, tasting experience or a customer's completed service encounter. Keep human fieldwork where those experiences are the question, and assess simulation evidence against the specific use you intend.

Keeping Qualtrics belongs in the shortlist

Qualtrics supports online panels with targeting and custom screeners. Before replacing it for a recruitment problem, establish whether the needed audience and service are available within the current arrangement.

Keep the existing system in the comparison when established studies, reporting or staff expertise depend on it. Ask the current team to demonstrate the proposed improvement alongside the alternatives. A single concept project might move to a managed provider while the tracker remains in place. The decision can concern one research job without becoming a company-wide migration.

Send every supplier the same requirements sheet

Copy this into the buying brief and fill in the actual study details. Ask suppliers to mark each requirement as included, separately priced or unavailable, with an example of the promised deliverable.

Requirement

Information to specify

Decision

Which concept advances, which message changes, or which tracker movement needs action

Evidence source

Recruited people, your own customers, existing records or simulated respondents

Eligible audience

Geography, category behavior, purchase period, exclusions and required subgroup bases

Study materials

Complete concept cards, question wording, scales, options and routing

Repetition

Number of studies or waves, stable measures and treatment of changes

Team responsibilities

Who designs, programs, checks, fields, analyzes and presents

Deliverable

Response-level access where applicable, subgroup results, uncertainty and recommendation

Handoff

Export formats, question definitions, reuse rights and access after the contract ends

Commercial scope

Subscription, fieldwork, services, internal time, renewal and cancellation terms

Do not score all features equally. For the tracker team, a usable audience and preservation of key measures are conditions to meet. For the agency, support with interpretation may matter more than maintaining a historical series. Decide those priorities before seeing the proposals.

Compare the cost of completing the work

Suppose the agency plans sixteen studies. One illustrative proposal costs $8,000 for annual software access and $600 in fieldwork per study. The team expects eight internal hours per study at a planning rate of $75 per hour. The full annual estimate is $8,000 + $9,600 + $9,600 = $27,200.

A second proposal costs $24,000 including the same sixteen fieldwork briefs and agreed support. It requires two internal hours per study at the same planning rate: $24,000 + $2,400 = $26,400. These are invented planning offers, not prices from the suppliers above. Their $800 difference is meaningful only if the audience, evidence and deliverables match.

Use the calculation to identify the question for procurement. If the lower-access-price route needs more skilled time, can the team supply it? If a managed proposal excludes the needed subgroup or treats fieldwork as an extra, revise its estimate before comparing totals. Internal hours are an economic cost, not necessarily cash the business saves.

Prove the replacement on one study

Choose a completed or low-risk brief and specify what a successful delivery must contain. The agency might require a clear explanation of concept understanding, competing choices and the revision each concept needs. The tracker team should additionally inspect old and new question definitions, sourcing and weighting, and decide whether an overlap exercise is needed before interpreting a movement as a trend.

Before ending the old arrangement, recover the permitted data, questionnaire, coding, report definitions and files needed to continue the work. Name the person responsible for the first study in the new system. Resolve any missing access or contract terms while the existing workflow remains available.

Buy the replacement that completes the required research job with a team that can sustain it. For the agency and its client, that can mean different choices: a flexible concept-screening workflow for one, and continuity of measured brand evidence for the other.
